The Student Recruitment and Retention Center (SRRC) Grant provides funding for organizations and campus departments planning programs that support and promote outreach and retention to students of historically underrepresented, low-income, or educationally disadvantaged communities.

Retention Goal: To provide student-led, holistic retention support services to historically underrepresented, low-income or educationally disadvantaged enrolled students (undergraduate & graduate).

Outreach Goal: To promote and support academic preparation, leadership development and cultural enrichment activities for non-college tracked youth and community college students (k-12 & community college).

Grant Application Deadlines 2023-2024

The RROC board reviews grant applications at least once per quarter.

When filling out the grant application, please be aware of the application deadlines, as seen below. Please ensure that you are filling out the form titled SRRC grant application for the appropriate month and quarter deadline. If you need support filling out an application, please see the guidelines below or e-mail us at srrc.grants@gmail.com.

All applications close at 11:59 PM on the day of the deadline. We are not responsible for any misplaced grants not submitted directly to these sources.

You will receive the grant reviewing committee decision notification on your funding request via e-mail after the review has occurred from the RROC Board.

*Review dates may tentatively change depending on the availability of SRRC Grants funds. Please note, RROC allocates $15,000 annually for grants. Once we allocate all of our funding, we will no longer be accepting grant applications.

Instructions for Completing SRRC Grant Application

 

Please read the “Criteria for Selection” and “Funding Guidelines,” before you start filling out the application:

Criteria for Selection

Priority will be given to activities that:

  • Occurs during the months of October-May of this academic year ONLY

  • Are planned by Student Organizations registered with the Center for Student Involvement (CSI) serving disadvantaged and underrepresented students (elementary school, junior high, high school, community colleges, and UC DAVIS).

  • Are planned by Campus Departments (e.g. LGBTRC, WRRC, CCC, Asian American Studies, APP, EOP) serving disadvantaged and underrepresented students (elementary school, junior high, high school, community colleges, and UC DAVIS).

  • Provide preparation for eligibility to an institution of higher education and/or tools to help disadvantaged and underrepresented University students successfully complete their higher education (such as time management and test-taking workshops).

  • Must have a student organization agency account to have funds disbursed. 

  • Activity serves 5 or more students.

  • SRRC sponsored events via programs will NOT be considered for funding.  It is considered to be a double request for the same activity.

  • Requests for individual conference/workshop attendance will NOT be considered.

  • Events or activities that require a participation/entrance fee will NOT be considered.

  • Events or activities that DO NOT follow county and UC Davis guidelines will NOT be considered, including events that are in-person.

  • Events or activities that are fundraising for a nonprofit organization will NOT be considered.

  • Event or activity prior to a review date will NOT be considered (event/activity must occur after the grant allocation review date).

Funding Guidelines

Student Organizations
  • A single organization can be funded up to $1,000 max. per academic year (may apply multiple times throughout the year regardless if the organization has received funding in the past or not).

  • Student organizations MUST be registered with the Center of Student Involvement.

  • Activities must take place no later than October - May for this academic year.

Campus Units
  • Campus departments may apply for co-sponsorships during any grant period according to the above due dates.

  • Campus departments can be funded up to $1,000 max. per academic year (may apply multiple times throughout the year regardless of the campus unit/department has received funding in the past or not).

  • Activities must take place no later than October - May for this academic year.

General:
  • Activities shall be UC Davis student or center/department initiated.

  • Activities must include academic preparation efforts that contribute to increasing the academic achievement of educationally and/or economically disadvantaged students to encourage achieving eligibility for college and university admission and/or degree.

  • Outreach

    • Activities shall focus on the recruitment and mentorship of K-20 students who are part of a school system or community agency/program (elementary school, junior high, high school, and community college students from underserved school)

  • Retention (on the UC Davis campus)

    • Activities shall focus on providing underrepresented and underserved UC Davis students with tools/support to successfully complete their university degree(s).

  • Applicants shall coordinate activities with other units providing similar services such as those provided by the SRRC, in order to optimize the value of student-led efforts (when possible).

  • Activities shall include a framework for accountability (detailed budget), both financial and programmatic, that adheres to the University policies and procedure (UC Davis Policy & Procedures manual 330-09 “Financial Management and Services,” which prevails over these terms and conditions.

  •  Activities must submit reports that include an evaluation of the activity, expenditure report of expenses and for outreach data report, school report, event evaluation of which will be included in UC Davis annual evaluation report that is submitted to the UC Office of the President and the State Legislature.    

Conditions for Funding

  • List the SRRC as a co-sponsor of your activity/event in the advertising and acknowledgment of the activity with logo provided on the website.

  • You are required to include the SRRC logo on all printed publication or promotional materials. (Note: Plan to include the logo ever before a decision on your grant request has been reached.)

  • Any unused funds or unverified expenses will need to be returned to the SRRC grant account via a check payment or account recharge.

  • If you failed to adhere to any of the guidelines or conditions for funding you will be required to return all allocated funds.

Grant recipient will be required to submit: 

Outreach: 

  • A signed copy of Student Initiated Academic Preparation (SIAP) Financial Agreement must be submitted for disbursement of funds to DaFis accounts.

  • A detailed agenda of activity including the times and location, a week prior to the activity.

  • Must list the SRRC as a sponsor.

  • Several SIAP reports no later than two weeks after the activity.

  • An Expenditure Report in which you must include any receipts for which items were paid with SRRC grant funds.

  • SIAP Participant Data/Evaluation Cards.

Retention:

  • A detailed agenda of activity including the times and location, a week prior to the activity.

  • An event evaluation no later than two weeks after the activity.

  • An Expenditure Report in which you must include any receipts for which items were paid with SRRC grant funds.

Substitutions or modification to these conditions may only be made with prior approval from the SRRC Career Staff and/or RROC Financial Chair. 

Failure to meet any of the above-mentioned guidelines or condition of funding will jeopardize both current and future SRRC Grant eligibility and student organization standing.  

Tips for Getting SRRC Funding

  • Fill out the Grant application correctly, making sure all the $ amounts add up and match those listed on your supporting documents (quotes).

  • Make sure your event is well planned and you can speak about it with confidence at the RROC meeting.

  • Declare your full budget on your application, including expenses that you are paying for.

  • Do as much fundraising as you can for the event: SRRC will never pay for 100% of the event’s/publication’s costs.

  • Only list the fundraising you will contribute to the event/publication on the grant application: if your organization does fundraising that will not be put towards the event in question, don’t list it on the application.

  • Have an exact location: know which facility you are using (if you will be using one), have it reserved and attach the reservation confirmation to your application.

  • Visit cevs.ucdavis.edu to reserve space on campus.

  • Have exact dates: if you are having an event, know when exactly you will be having it; if you are printing a publication, know when you will be printing.

  • If your event involves a speaker/performer, reserve that speaker/performer and attach the reservation confirmation (an official statement from that person saying they agree to do this) to your application.

  • The bottom line: plan your event well; know where it will be, who will be performing/writing (if a publication), who will be attending, etc.

When submitting applications each group will have an opportunity to present their request to several board members and answer any questions they may have during the allocation review meeting. If during allocations the board has additional questions the applicant will be contacted.
